Production Editor - Books Manuscript Editing


General Nature/Purpose of Work:

Production Editor prepares the transmittal to production of 24+ freelance copyedited manuscript per year (scholarly, reference, textbook, or trade) and is project manager for the manuscripts through all subsequent stages through approval of bound book.

Primary duties and responsibilities: 

  • Serve as project manager and Press liaison with author on all assigned projects, from final edited manuscript through bound book.
  • Evaluate the work of freelance copyeditors.
  • Hire and evaluate the work of freelance proofreaders and indexers.
  • Edit, sometimes substantively, indexes prepared by author or freelancer as well as miscellaneous front-matter elements (e.g., foreword) as needed.
  • Proofread catalog copy.
  • Proofread and route book jacket copy; check jacket through all production stages.
  • Establish schedules and ensure they are met.
  • Resolve problems in manuscript and proofs, in consultation with Managing Editor and/or other departments when appropriate.
  • Track permissions for text and art; track original art, most of which is in the form of electronic files.
  • Traffic page proofs to authors, proofreaders, and indexers, primarily as PDFs.
  • Transfer all changes to PDF of master proof using Adobe markup tools, working with author to reduce alterations when appropriate.
  • Track corrections on PDFs through subsequent proof stages. Check revised pages, blues, F&Gs, and advance copy.
  • Follow Press procedures for internal routing of proof stages.
  • Participate in monthly departmental meetings; work closely with Production staff and interact frequently with Marketing and Acquisitions Departments.
  • Maintain database records with daily/weekly status reports on each project; summarize editing and production history after publication.
  • As workload requires and if incumbent is qualified to do so, may copyedit full-length manuscripts. Under the guidance of the Managing Editor, may supervise freelance copyeditors or liaise with production services.


To what extent will work be supervised and by whom?

Production Editor is given specific work assignments and general deadlines and is trained in house style and procedures; incumbent must make substantial independent judgments in the course of each project and manage a varied and complex workload. The Production Editor reports to the Managing Editor.

Number and type of personnel directly supervised:

  • Hires freelance proofreaders and indexers.
  • Does not supervise in-house personnel, but does direct the work of part-time student assistants.


Machines/equipment used:

  • PC using MS Word and Excel.
  • Database using FileMaker: Allbooks
  • Email using Outlook;
  • Printers, photocopiers, scanners, fax machines


Minimum Requirements:


  • Bachelor’s degree


Special Skills/Knowledge:

  • Knowledge of mechanical and substantive editing skills as they apply to book-length (including illustrated and tabular) manuscripts
  • Well versed in Chicago Manual of Style, 17th ed., with ability to apply other appropriate style manuals as necessary.
  • Strong language skills and interpersonal communication abilities; elementary foreign-language skills.
  • Broad familiarity with book production process; ability to handle multiple projects simultaneously and to prioritize effectively. Detail oriented, flexible, well organized, and able to meet deadlines.


Related Work Experience:

  • Minimum of two years' book or journal publishing experience, preferably in scholarly or academic publishing, and including copyediting experience.
