Exhibits Coordinator

The Exhibits Coordinator supports the press on a part-time basis by coordinating all logistical and material support necessary to promote, display, and sell our work at more than 20 conferences per year. The role is multi-faceted and includes project planning to ensure that all materials (signage, order forms, advance proofs, print-on-demand books) are produced on time and that all booth reservations and furniture rentals are arranged on time and for strategic placement advantage. Our exhibits presence is an important component of our marketing strategy and establishing a strong global brand for the GU Press at academic and scholarly association meetings as well as other important professional meetings throughout the year. Exhibits are also fundamental to our role as an influential and highly regarded academic publisher in supporting our authors and the academy. Reporting to the Marketing and Sales Director (MSD) and collaborating with other marketing staff on a coordinated communications strategy to include communications, the Exhibits Coordinator has additional duties that include but are not limited to:


  • Serve as liaison with exhibits vendors and conference hosts to manage all aspects of exhibit logistics and to troubleshoot problems as they arise.
  • Serve as liaison with our distributor for ensuring that shipments are requested and delivered on time as well as that the online order application is set up for each conference and the credit card machines are operational.
  • Tabulate and report all sales data and exam copy request data to our distributor and business office for fulfillment, tracking, inventory reconciliation, and payment reconciliation.
  • Process returns and sends e1Ccess inventory back to distributor as necessary, accounting for or reporting any shrinkage.
  • Continuously develop, maintain, enhance, and improve a user-friendly and effective exhibits experience.
  • Train and educate staff on use of credit card machines and other best practices and procedures for setting up, taking down, selling books, recording transactions in the booth.


Requirements and Qualifications 


  • At least one year of experience in meeting planning
  • Experience working with vendors
  • Ability to problem-solve under pressure
  • Experience with budget coordination
  • Experience with working with and querying FileMaker Pro Advanced or similar database program and large data sets


Preferred Qualifications


  • At least one year of experience in publishing, preferably scholarly or nonfiction
  • At least one year of experience in the marketing, design, or communications fields
  • Proficiency in Microsoft Office Suite and Adobe Creative Cloud


Other Skills


  • Excellent proofreading, writing, organizational, and interpersonal communication skills
  • Ability to juggle and prioritize multiple tasks to meet deadlines and ability to work well in teams and independently
