About the AUPresses Annual Meeting
AUPresses 2026 will take place on June 13-15, at the Westin Seattle in Seattle, WA. This dynamic and collaborative conference will feature more than two days of educational sessions, exhibits, service demos, networking opportunities, and more for the scholarly publishing community.
Over 500 people are expected to attend, with attendees representing the more than 160 Association member presses, and staff from non-member publishers as well. Press directors; editors; sales, marketing and publicity staff; production, design, and editorial staff; financial officers; electronic publishers; journals staff; IT Managers; library publishers; scholarly communications stakeholders; and others are expected to attend.

Exhibiting at AUPresses 2026 offers an opportunity to meet decision-makers from all of the major university presses, as well as other scholarly publishers. Exhibitors typically offer these attendees a range of services including: printing, typesetting, paper supply, copyright licensing, mailing list research, database and publishing software solutions, and more. If you offer products and services of interest to scholarly publishers, you should plan to attend.

Exhibiting Rates
AUPresses is launching a new pricing structure in 2026, offering exhibitors the opportunity to book early for the best rates—a more cost effective option to get in front of our community.
Early Bird—Register by April 16, 2026 (11:59pm EDT)
- AUPresses Partner: $1,650
- General: $2,200
Advance—April 17-May 20, 2026 (11:59pm EDT)
- AUPresses Partner: $1,750
- General: $2,300
Standard—after May 21, 2026
- AUPresses Partner: $1,850
- General: $2,400
Onsite registrations: A $50 fee will be added to the applicable rate.
What’s Included
Exhibiting packages include one 30” x 6’ table with chairs, and one black table cloth. WiFi and registration fees for two company representatives (excluding meals) are included in the table fees. Exhibit table selection will take place in April.
There will be additional charges for box-handling and any electrical and audiovisual needs. Exhibits are strictly table-top; no large displays or booths will be allowed. There is a limit of one table per company.
Exhibitor representatives are entitled to attend annual meeting sessions. There is an additional fee for attending group meals. If a company would like to send more than two representatives, they can send up to two additional representatives at the member rate.
Additional Benefits
2026 Exhibitors will be listed on Association’s website and on the event platform. Exhibitors can opt to participate in a prize drawing and purchase advertisements (limited availability) in the Attendee Newsletter. In addition, all exhibitors will appear in the exhibitor center on the event’s technology platform and will have early access to the mobile app to set up appointments with meeting attendees. The Association will also provide exhibitors with a mailing list of meeting attendees (for one-time use only) to help companies promote their presence at AUPresses 2026.
Exhibiting Hours
Exhibits will be open Sunday, June 14 and Monday, June 15; the hall is open all day, with two coffee breaks scheduled in the exhibits area each day. A full schedule with more details, including shipping information, set-up, tear down exhibit hall hours will follow.
A non-refundable 50% deposit is due within 48 hours of booking your table. Full payment is due by April 26, 2026.
Insurance
Neither the Association of University Presses nor The Westin Seattle provide insurance for exhibited materials. If you wish to have coverage for your materials, you must contact an insurance agent directly.
Security
Each exhibiting company is responsible for safeguarding its goods, materials, equipment and exhibit booth at all times. AUPresses is not responsible for loss of or damage to any property.
Cancellation Policy
AUPresses must be notified in writing in the event of exhibit space cancellation. Cancellation of exhibit space received prior to April 26, 2026 will be refunded 50% of the total table cost. After April 26, 2026 no refunds will be made.
Speakers and sessions may change without notice. In the unlikely event of meeting cancellation, AUPresses is not responsible for any costs, damages, or other expenses incurred by the exhibitor.
Prize Drawings
Increase traffic to your table by donating items for a prize drawing. Let us know if you will contribute, and the Association will help promote your participation. Popular prizes include e- readers, tablets, non-Amazon gift cards, and service discounts.
Shipping
Exhibitors will be able to ship directly to The Westin Seattle. Handling charges will apply. Additional information will be sent to exhibitors with instructions.
Electrical/AV/Internet Information
There will be an additional charge for exhibitors with electrical and audio-visual needs. Exhibitors will order directly from venues provider, Encore. Order forms and additional information will be sent to exhibitors.
Exhibitors will have access to the meeting’s WiFi network for no additional charge.
Conference WiFi is likely insufficient for streaming and heavy graphics. Exhibitors who require additional bandwidth will need to contact the venues provider and are responsible for all costs. Order forms will be sent to exhibitors.
